Your Knowledge Base is your company’s library of uploaded documents and websites, organized into collections and indexed so the AI can retrieve relevant context for Knowledge Base Search, Chat, summarization, and answer generation. It also includes an Approved Answers tab for vetted responses you promote for reuse.

Keep collections broad rather than creating many small ones. Privata searches the actual text of your documents and matches the most relevant passages across every collection in scope, so it doesn’t pick whole collections. Organize around a few major areas (for example, company knowledge, product and pricing material, and past performance), and rely on the labels Privata applies as it indexes, reviewing and correcting them instead of splitting content further. Give each collection a descriptive name and description, then attach the ones a response needs, often several or all, or set the project’s retrieval scope to All collections. A few broad, well-labeled collections plus a complete Company Profile generally produce better results, and are easier to maintain, than many small collections.

A project is the main workspace for one sales activity: a bid, a customer response, or an RFx submission. It groups your source documents, collections, tasks, instructions, and AI-generated outputs (responses, summaries, presentations, and images) so work stays organized by opportunity.

Open Knowledge Base Search from the navigation bar. Enter your query, review the relevance-ranked results, filter by collection, and use Preview to check a result before opening it.

Open the Document Summarizer from the project’s AI Agents & Tools, choose your source document, and select the summary style and output format. Privata generates a concise summary you can review and export for internal or client-facing use.

Use the Proposal Collateral Studio from a project’s AI Agents & Tools. Choose a content type, such as company backgrounds, capability statements, technical approaches, and similar supporting narratives, and Privata drafts it using your project and collection context.

Open the Proposal Collateral Studio, describe what you need, and set the slide count. Privata uses your project and collection context to draft a presentation you can review and download.

Use Bid Search to find public SAM.gov opportunities and let Privata match them to your company profile. Use Add to Project to bring an opportunity in as a project and start building your response.

Go to Billing and review Billing History, then use the receipt or invoice links in each row to open the available documents.

Privata uses request-based AI processing rather than long-term model memory. Context is supplied per request from your selected projects and collections, which reduces unnecessary persistence at the model layer. Prompts are not cached, reused for training, or used for fine-tuning at the model layer.

Open Account Settings from the profile menu, go to the Danger Zone, and use Delete My Account. You must type DELETE to confirm. Deleting is permanent: it removes your projects, documents, collections, and stored conversation history, so export anything important first.
